By applying via the online form, you confirm you have read and understood the contents of this document and will abide by the instructions provided.
Bookings are not confirmed until the application has been approved and payment and PLI have been received within the given deadlines.
The NightFair reserves the right to cancel your stall at any time and for any reason, and this reason does not have to be disclosed.
Any stall booking payment refunds granted are done so at the promoter’s discretion and we retain the right to deduct any associated costs incurred and admin fees from a refund.
Public Liability Insurance must cover your business to a MINIMUM of £5,000,000. If yours expires before the event, please send your current cover and update once it’s renewed.
Please bring a card reader / set up your phone to allow contactless payments. Accepting contactless payments in addition to cash is mandatory for these events. I personally use Square. Tablecloths are not provided unless stated in the booking option (table shares). Please bring a suitable tablecloth large enough to cover your table & the front down to the floor. Excess fabric must not present a trip hazard.
A maximum of two stall holders per stall will be permitted - if you require more, please state this in the booking form. Stall sharing is not allowed without prior arrangement. Any requests to stall share must be done so in writing and agreed prior to the event.
Stalls are not to be left unattended at any point during the event.
Once the booking is confirmed and the stall fee has been paid, the fee is non-refundable unless I cancel the event. In the case of event cancellation by me, you will receive a full refund.
Stall-fees are non-transferable - this means they are for yourself only, and only for the event you applied for.
If you cancel a booking, I reserve the right to refund and cancel any/all future bookings.
If you will be handling food and drink products, please ensure you adhere to food hygiene regulations and provide certification with your PLI upon acceptance.
Nothing is to be attached to the walls or fixtures and no open flames, including candles and incense of any sort.
Please bring a digital or hard copy of your certification/insurance documents, these may be asked for by the venue event manager.
Setup and takedown times are strictly non-negotiable as a condition of the event insurance. Doors will CLOSE to stallholders 15 minutes before the event is due to open to the public, to prevent early visitors from coming in before open time. Any stallholder not fully loaded in by this time will be asked to leave / refused entry, so the event opening is not delayed.
Please do not take down your stall until the event finishes, even if you have sold out as this reflects badly on both the event and the other stall holders. This is a breach of the event insurance, and you will not be allowed back.
Traders must vacate the premises by the agreed leave time (this is venue specific). Any extra charges incurred from the venue for being onsite after hired hours will be passed onto the stall holder responsible.
The NightFair bears no liability for loss, damage or theft of items during the event. The NightFair is not responsible for trader vehicles, parking or parking fines.
Use rubbish bins provided and leave your pitch area as you found it. Anyone in breach of this will be refused from returning in the future. If additional cleaning charges are incurred they will be passed to the trader responsible.
Electricity is not guaranteed with stall booking and is at the discretion of The NightFair and venue. Any electrical equipment allowed must have a current PAT test, be safe to use and any wires taped down to prevent trip hazard. The Venue Duty Manager may wish to view PAT certification on the day. The Duty Manager reserves the right to refuse to allow any electrical equipment to be used if upon request, a PAT certificate is not produced or there is reason to believe the equipment represents a hazard.
Stall positioning is strictly down to The NightFair organiser, and all floor plans are subject to change.
Promotional material of any kind advertising other events not associated with The NightFair is strictly forbidden without prior consent from the event organiser.
The NightFair organiser is not liable for delay or failure to provide services because of any act or circumstances beyond their control including but not limited to Act of God, legislation, injury, terrorism, war, fire, failure of power.
Traders will always receive a professional and courteous service from The NightFair. Any abuse of The NightFair organiser by traders via social media or other mediums, will not be tolerated and will result in your expulsion from the event and trading opportunities at future events. This includes but not restricted to abuse directed at venue staff or attendees of the event.
